Privacy Policy

1. Who We Are & Who This Covers

Reklutio is a recruitment platform owned and operated by Klutio Technologies Solutions Corp. ("Reklutio," "we," "us," "our"), a company based in Winnipeg, Manitoba, Canada. This Privacy Policy explains how we collect, use, disclose and protect personal information in the course of operating reklutio.com and the Reklutio application, in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

This policy applies to three groups of people:

  • Clients, the recruiters, staffing agencies and companies who sign up to use Reklutio to manage their hiring.
  • Candidates, the people who apply to a role posted through Reklutio, or who are invited to take our behavioral assessment.
  • Visitors, anyone browsing reklutio.com without an account.
Reklutio is an early-stage company. Some practices described here, particularly around data retention and payment information, reflect where we are today. We will update this policy as the product and our processes mature, and we'll always update the date above so you can tell what's changed.

2. Our Commitment to You

We are accountable for the personal information under our control. Our designated Privacy Officer, responsible for our compliance with this policy and with PIPEDA, is:

3. Information We Collect

3.1 If you're a Client (recruiter, agency, or hiring company)

  • Account information: your name, work email, company name, job title and password.
  • Content you add to the platform: job descriptions, notes about candidates, scoring, messages sent through Reklutio, and your calendar availability for scheduling interviews.
  • Communications with us, including support requests and product feedback.
  • In the future, once we introduce paid subscriptions: billing contact details and payment information, collected and processed through a secure third-party payment processor. Reklutio does not store your full card number.

3.2 If you're a Candidate (you applied to a role, or were invited to assess)

  • Application information: your name, contact details, résumé/CV, cover letter and any answers you submit as part of an application.
  • Public professional information used for verification: your LinkedIn profile URL and publicly visible profile details, used to confirm you're a real, matching applicant rather than a bot or fabricated profile.
  • Behavioral assessment data: your responses to our interactive scenarios, and related behavioral telemetry (such as response timing and choices made during the assessment). See Section 5 for detail.
  • Source information: which job board or channel you applied through.
  • Interview scheduling details, if you book time with a client through Reklutio.
  • We do not currently collect selfies, video, or any biometric/liveness data. If we introduce this in the future, we will update this policy first and seek your consent before collecting it.

3.3 If you're just visiting reklutio.com

  • Basic technical information (like browser type and general usage patterns) needed to keep the site running and secure. See Section 13 on cookies.
  • Anything you voluntarily submit, such as an email if you contact us.

4. Why We Collect It

  • To create and manage Client and Candidate accounts, and to operate the core functionality of the platform (job posting, the candidate pipeline, scheduling, messaging).
  • To generate AI-assisted job descriptions and promotional visuals on behalf of a Client.
  • To filter out bots and clearly non-matching applicants, and to run the behavioral assessment where a Client has enabled it for a role.
  • To produce the pre-call report a Client sees, so they can prepare better, more informed interview questions.
  • To allow Clients to re-contact past applicants about new, relevant openings (our "candidate library," see Section 10).
  • To communicate with you, keep the platform secure, troubleshoot issues, and improve Reklutio over time.
  • To meet our legal, contractual and regulatory obligations.

We do not use your personal information for any purpose incompatible with the reasons above without asking you first.

5. The Behavioral Assessment, Specifically

Our assessment draws on the Big Five (OCEAN) personality model, a publicly documented, non-clinical framework. It takes about 7 minutes and is delivered as a short set of interactive scenarios rather than a traditional personality test. Reklutio's own implementation has not been independently certified, and results are reported as tendencies rather than scores.

What it is not: Reklutio's assessment is not a certified psychometric test, not a psychological or medical evaluation, and it does not produce a clinical diagnosis of any kind. It is meant as a starting point to focus an interview, never as a standalone hire/no-hire criterion. It is a supplementary signal, not a verdict.
  • The Client who posted the role receives a report showing personality-trait signals and suggested interview questions, never an automatic pass/fail score, and never a ranking that replaces human judgment.
  • The hiring decision is always made by a human being at the Client's organization. Reklutio does not make automated hiring decisions, and no candidate is ever rejected by an algorithm alone.
  • Assessment results are shared only with the specific Client who posted the role. We do not sell, rent, or otherwise share assessment results with any other company, data broker, or advertiser.
  • You can always ask us what assessment data we hold about you, and request its deletion. See Section 12.

6. How We Use Artificial Intelligence

  • Drafting job descriptions and promotional visuals on behalf of a Client, based on the notes that Client provides.
  • Generating the optional full candidate report, which uses a third-party AI provider (OpenAI) to help structure and summarize assessment results into readable language. This happens only when a Client chooses to generate that report.

Where a third-party AI provider is involved, only the information necessary to perform that specific task is sent to them, and it is used solely to generate the requested output, not to train their models on our clients' or candidates' data, per our provider agreements. AI is never used to make a final hiring decision.

7. Consent

We collect, use and disclose your personal information with your knowledge and consent, except where the law permits or requires otherwise. Consent may be express (for example, choosing to take the behavioral assessment) or implied (for example, submitting a job application implies consent to that application being reviewed by the hiring Client).

You can withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us at kgiraldo@reklutio.com. Withdrawing consent may limit our ability to provide certain services to you.

8. Who We Share Information With

We do not sell personal information. Ever. We share information only with the parties below, and only as needed to run Reklutio.

We may also disclose personal information where required by law, or to protect the rights, property or safety of Reklutio, our Clients, Candidates, or the public. If Klutio Technologies Solutions Corp. is ever involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy (or a successor policy we'll notify you about).

9. Where Your Information Is Stored

Reklutio's infrastructure currently runs on Railway, with servers located in the United States. This means personal information, from Clients and Candidates alike, is stored and processed outside of Canada, and while there, is subject to the laws of the jurisdiction where it's held, including potential access by that country's authorities under its own laws. We require appropriate contractual and technical safeguards from any provider that processes personal information on our behalf, regardless of location.

10. How Long We Keep It

  • Candidate applications and assessment results tied to a specific, active role are kept for the duration of that hiring process, plus a reasonable period afterward for record-keeping and legal purposes.
  • Candidate library data (so a Client can re-contact you about a relevant future opening) is kept for up to 24 months from your most recent application or activity, after which it is deleted unless you've engaged with us again. You can ask to be removed sooner at any time.
  • Client account data is kept for as long as your account is active, plus a reasonable period afterward for legal, accounting and dispute-resolution obligations.
  • Early access accounts: if you decide not to continue after your trial, we will provide you a full export of your data and delete it from our production systems.

11. How We Protect It

  • Encryption of data in transit (HTTPS/TLS) between your browser and our servers.
  • Role-based access controls, so only team members who need to see specific information can access it.
  • Masking of especially sensitive candidate information where it isn't needed for the task at hand.
  • Regular review of our systems for known security vulnerabilities.

No system is 100% secure, and we can't guarantee absolute security. If we become aware of a breach that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada, as required by law.

12. Your Rights

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Withdraw consent for our use of your information, subject to legal or contractual limits.
  • Request deletion of your personal information, subject to our legitimate retention needs (Section 10).
  • Ask questions about our privacy practices, and receive a clear answer.

To exercise any of these rights, email kgiraldo@reklutio.com. We will respond within 30 days, as required by PIPEDA. We may need to verify your identity before fulfilling certain requests.

13. Cookies & Tracking

reklutio.com currently uses only the minimal technical functionality needed to run the site properly (for example, remembering your session if you log in). We do not currently use third-party advertising cookies or sell browsing data to advertisers. If this changes, we'll update this section and, where required, ask for your consent first.

14. Children's Privacy

Reklutio is a business-to-business recruitment platform intended for use by working adults. It is not directed at children, and we do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, please contact us so we can delete it.

15. Changes to This Policy

We may update this Privacy Policy as Reklutio grows. We'll post the revised policy here with an updated "last updated" date, and where a change is material, we'll take reasonable steps to let active Clients and Candidates know directly.
